Monday November 10, 2003

Meeting called to order at 7:36pm

Officer’s reports:

Seneschal

Because of the five week month Keegan's schedule has been bumped to "on duty" every 2nd monday.  Will make a motion later.

All officers must get warranted by their Kingdom counterparts.  Find out what your office requires and get the letter signed by Keegan if necessary.

Scroll.  Working on getting it for the domesday book.

Because of Issue in Eisenthal do not speak of this in any official capacity.  We are not doing any children's stuff for a while. 

Reports are now due for all officers, even if you're not officially warranted.  This is extremely inportant for the canton - we will have trouble leaving incipiency and becoming official if we don't have reports completed on time.  Keep a hard copy for yourself and CC Keegan so that we have complete records of all our reports. 

What is the policy for deputies.  The Drop Dead Deputy must live in the canton.  Anybody can be an additional deputy.  Lord William volunteers to become an additional Deputy seneschal.

Beltane

Lady Mel and Lord William are appointed as autocrat and deputy autocrat for the Beltane event.

Exchequer

As we did last month, we have $400 in the bank; we have deposits due to be deposited for $135.  Jamilia is owed a check, which we can finally process now that we are incipient.  Paperwork for charitable contributions will be forthcoming.  We have no outstanding debts. 

Our bank account is still under Bhakail and will stay there for the time being.

Brewer's Guild meets wednesday at McKenzie's in Chadds Ford on 202.

Letter from Dan.  We need to change name to Gleann nam Feorag because Gleann is feminine. 

All officers present signed a petition to get our name and device registered. This petition is the start of the heraldic registration process for the Canton. The Canton cannot move out of incipiency until the registration process is complete, which is expected to take one to two years.

Webmistress

Yule Auction photos are up. Still need to put up photos from Deiniol from Pennsic, from Katrine from Pennsic, from Elenora from the May 10 Demo, and newspaper article by Magdalena.

Marshal of Fence

As reported last month, we are still working on an indoor site for fencing at Penncrest High School for NO MONEY.  Not for profit with 75% membership in the school district as long as we do not accept any donations or admissions while on the site.  Opportunity for recruitment.  Paperwork submitted.  We need to prove insurance.  As soon as we get approved we can show them the proof of insurance; costs $50 to show them as a rider.  Insurance rider will come in December since ours expires end of November. 

Pirates - two tourneys - Katrine placed second in one of the.  Our great grand-don, don Philip of the Golden Stag won both tourneys.  Kazurada authorized in single epee rapier.  K&Q fencing champ coming up this weekend.  Deniol came in second at Pirates in archery.

Chronicler

We have a newsletter name. There were 17 votes: In a Nutshell won the polling with 10 votes, Nuts and Bolts came in second with 3 votes, and 4 others received 1 vote each. I thank everyone for their suggestions and votes!

Keegan and I have both written to the Kingdom Chronicler as per the local Chronicler requirements in East Kingdom policy.

We will have art. Don Ian Raven will provide 4 cover designs. I've given him some ideas for seasonal designs, each featuring a squirrel and nutshell. I welcome and encourage other artwork (including cartoon) submissions.

I will submit a proposal for newsletter publication medium, dates, ideas, etc., to the other officers to share information and offer a chance for feedback. The key point in it: electronic publication as the main medium of the newsletter, so that the newsletter will be free, or nearly so. Print copies will be available on request, and also from the web page.

I hope for a January first issue. I'm leaning toward an article/artwork submission deadline of the 20th of each month, and publication on the 28th. If we are able to begin with a first issue in January, that gives us a first submission deadline of January 20, 2004. Please consider submitting an article, recipe, artwork, or other item related to our time period or the SCA. Let's make the first issue special!

Publication will be monthly, but I would like to publish 4 special seasonal issues:
Winter - January
Spring - April
Summer - July
Autumn - October

These will come out in the middle month of each season, so that submissions can focus on recent seasonal events. The Winter Issue in January could have an article about the Yule Revel, for example.

I especially encourage submissions with any season-related theme for these special issues. To give another example, I hope for a Winter Brew recipe from Lord Keegan this January!

I will be working on submission guidelines (to be posted), and web templates.

Special committees

Bhakail Yule Revel

30 people pre-registered.

Yule auction items pictures are up.  New acution item sewing machine!  All money going to toys for tots. 

Site visit coming up, date TBA.  Same for next committee meeting.

Beltane Brew and Brawl

Event announcement is posted.  We had a meeting.  Areas of responsibility are divided up .  Dunk tank suggested.  Elenora volunteered to help with the event. 

$5 per person site fee up to cap (we hope for cap of perhaps $600 to the site).  $10-12 to camp for the weekend.

Bilgisayar and Fiona planning to provide dayboard and feast for approx $8 per person.

Possibility to be a southern region war practice; definintely a EK brewer's U.  This makes this a kingdom-level event.

Trying to discourage a royal progress and all the attendant extra work.

Barony probably funding Beltane; we would owe them 50% of the profits under previous Baronial policy.  Bilgisayar and Lorcan are offering to cut that down to something more like 10-15%..

Old Business

Archery is going on.  Corwyn is calling practices.   And will loan a 50-lb bow to anyone who needs to borrow equipment.  Robin will also bring her bow for loan.

Pavilion for the canton.  Pavilion top $175.  we canmake poles.  20'x20'.  Lord William makes a motion to make this purchase.  Squirrel finials.  Geoff second. Discussion - storage.  Elenora.  Corwyn.  Bilgisayar.  Not to exceed $200.  See Bilgisayar.  Keegan will build poles once requirements for poles are known.

New Business

Motion to move meeting to 1st Monday - Katrine.  Seconded - William.  Discussion: none.  Motion passes on voice vote.

Elenora volunteers to host next meeting.
